We recently hosted an insightful panel discussion with leading industry experts and payroll practitioners from across the UK and Ireland, exploring how modern technology is reshaping payroll operations. The conversation revealed compelling evidence of how smart automation and seamless integrations are becoming essential for efficient payroll processing. 

The evolution of payroll processing 

Our discussion highlighted the dramatic transformation payroll processing has undergone over the past decade. What once required manual calculations, paper timesheets, and countless hours of data entry now benefits from sophisticated automation and seamless software integrations. This shift is particularly evident in how businesses handle variable workforces, pension obligations, and multi-system data flows. 

The insights shared by our participants — from construction companies managing 200 weekly timesheets to accounting practices saving hours on journal entries —demonstrate that smart automation has moved from luxury to necessity. 

Preparing for Auto-Enrolment: UK experience and Irish readiness 

While speaking about the difficulties of legislative changes, our conversation addressed Ireland’s upcoming auto-enrolment implementation in January 2025, insights from those who’ve navigated the UK experience. 

Lloyd, a UK-based payroll professional who joined our discussion, shared his experience in the chat:  

“Auto-enrolment is not too bad. It’s educating people about the re-enrolment process every three years — that’s the part that no one ever seems to understand.” 

Debbie noted during our discussion that Ireland’s approach will actually be simpler, thanks to lessons learned from the UK implementation and improved API integrations. 

Building an integrated & tech driven payroll system 

Our participants emphasised that modern payroll processing rarely happens in isolation. Today’s most efficient operations rely on multiple software systems working together seamlessly, creating what we discussed as an integrated payroll ecosystem. 

Key integration & smart technology areas discussed 

Pension provider APIs: Our UK participants highlighted the particular benefits of automated pension integrations. As Debbie Clarke, BrightPay’s Product Manager, explained during our discussion:  

“We built API integrations with Nest, Smart Pensions, People’s Pension and Aviva. Time is money, so the more we could do to try and make that process seamless for customers.” 

BrightPay user Emily reinforced this point in the chat, noting: 

“I find the API integration really useful, especially with Nest, where you can approve the payments through BrightPay too.” 

Accounting software connections: Journal posting automation emerged as one of the most significant time-savers discussed. Darren Colgan – Founder, DCK & Co. quantified the impact during our conversation:  

“We’re probably saving about two hours in manual journals for a quarter of our clients that we’re doing payrolls for. And further on from that, on the management accounts point of view, the figures are more reliable — they’re coming from the software, they’re correct. 

Time and attendance systems: Our discussion revealed how integrating time tracking with payroll processing addresses one of the most persistent workforce management challenges. Sean Quinn, founder of TimeKeeper, shared a transformation story:  

“We had a customer who was processing 200 weekly timesheets for construction workers via paper. She spent three to four days a week to get the payroll done. With TimeKeeper, she cut that multi-day process down to a couple of hours.” 

Using AI to increase efficiency: Debbie mentioned how at Bright, we are working on implementing AI into our software to help bureau’s streamline their day-to-day tasks, which is an exciting step forward.  

One of our attendees, Richard shared a brilliant insight in the chat that really highlights how AI is starting to transform everyday processes. With the help of AI and specifically using ChatGPT — he explained how he managed to reduce a task that used to take an hour down to literally five minutes a week for one of his team members. 

By easily zeroising data in BrightPay, Richard could import not just hours and rates, but also descriptions, streamlining the process completely. He’s now keen to explore applying the same approach across other clients. 

It’s clear that AI is becoming increasingly integrated into people’s workflows, and in a range of different areas. AI is a practical tool that can save time, reduce errors, and help your team focus on higher-value work. 

Spotlight: The TimeKeeper integration success story 

During our discussion, we explored TimeKeeper’s recent integration with BrightPay Cloud, which demonstrates how purpose-built connections can transform operations. The system addresses the fundamental challenge of collecting accurate time data from variable workforces. 

Sean explained the common frustrations we discussed:  

“The common things that we hear from our customers is frustrations around actually getting the data in on time. They may be using manual timesheets or Excel, but they’re relying on their employees to get that information in so they can calculate the right amount of hours.” 

The automation solution we explored flips this dynamic entirely. Instead of chasing employees for timesheet data, the system puts responsibility on workers to clock in and out. As Sean noted about the customer:  

“By the second week suddenly everyone was clocking in and out and that three day a week process for her was now a one hour process at the end of the week.”

The final takeaways 

The panel discussion wrapped up with some valuable insights from our speakers about how businesses can start their payroll integration & automation journey. Here are the key points they shared: 

Sean advice was to “quantify what the existing process is costing in time and money and what the automation could save in time and to identify where is the business you could benefit from automation, integrations and new technology.”  

Debbie highlighted that “payroll is an ever changing landscape with legislation and technology and with BrightPay Cloud there is so much opportunity and there are lots of features coming in the future which is very exciting”  

And Darren echoed Sean’s perspective – “you need to look at what is costing you time and money and implement the automations and efficiencies there”. As Darren mentioned he had saved two hours processing from BrightPay’s journal integration, which is only one of the software’s time saving features.
