BrightPay has introduced updates to make your payroll processes more secure, collaborative, and efficient. These new features are designed to meet the changing needs of payroll professionals and their clients — offering more flexibility, better security, and a smoother user experience.

From increasing employee limits to adding new security tools, these updates reflect our ongoing focus on helping you stay ahead of today’s payroll demands. Whether you’re growing your client base or looking to improve data protection, these enhancements give you the tools to get the job done more easily and effectively.

Enhanced client collaboration with Payroll Entry & Approval

The new Payroll Entry & Approval feature transforms how clients interact with their payroll data, allowing clients to enter and approve their own payroll information. This creates an additional layer of quality control whilst empowering clients with greater ownership of their data.

The workflow maintains the familiar BrightPay process you trust whilst adding valuable client involvement. Clients can enter their payroll data directly, review and approve it through a streamlined experience, and ensure you receive verified, consistent data. This approach reduces back-and-forth communications and potential errors whilst maintaining the high standards you expect.

The cloud-based nature of this feature brings additional benefits including automatic updates, remote access capabilities, and enhanced security protocols. This means you and your clients can access the system from anywhere whilst maintaining the security and reliability that BrightPay is known for.

BrightPay’s Client Portal

The Client Portal in BrightPay makes it easier for users to access comprehensive payroll and employee information. Users can now access payslips, reports, calendars, HMRC details, leave information, and much more through a single, user-friendly interface.

One of the standout features is the unlimited user setup capability, with customisable access permissions per user. This flexibility is particularly valuable for payroll bureaus offering online access to employer clients, allowing you to tailor each user’s experience based on their specific needs and responsibilities.

The portal’s enhanced functionality streamlines client communication and reduces administrative overhead by providing direct access to the information clients need most frequently.

Increased employee capacity and security enhancements

BrightPay has increased the employee limit per employer file from 250 to 300 employees. This 20% increase provides greater flexibility for managing larger payrolls within a single file, helping you scale more efficiently as your client base grows without the need for additional file management.

Security receives a significant boost with the introduction of Two-Factor Authentication (2FA) for the Employee Portal. This additional security layer protects sensitive employee information when staff access their payslips and personal data, providing peace of mind for both employers and employees.

Streamlined banking and payment processing

BrightPay now offers enhanced banking capabilities with 55 bank payment template formats available for creating employer bank payment files. If your specific bank format isn’t available from the standard options, BrightPay now facilitates custom bank file template uploads, ensuring compatibility with virtually any banking system.

What’s more, the Modulr integration has been improved, allowing you to edit payment amounts to employees when creating bank payment files. This flexibility ensures accuracy and provides last-minute adjustment capabilities when needed.

Additional productivity features

Several smaller but impactful updates enhance day-to-day operations. The P30 document is now readily accessible through the Client Portal under Payroll > Due to HMRC, streamlining HMRC compliance processes.

Piece rates functionality has been expanded with options to edit and override piece rate amounts directly in the Payroll section, providing greater control over variable pay calculations.

For improved document presentation, BrightPay now offers an A4 payslip template option, giving you more flexibility in how you present payroll information to employees.

Maximising these new features

These updates represent a significant step forward in payroll management capabilities. The enhanced client collaboration features can help reduce your administrative burden whilst improving client satisfaction through greater transparency and control.

To get the most from these updates, consider implementing the client portal features gradually, starting with your most tech-savvy clients. The enhanced security features should be prioritised for organisations handling sensitive employee data, whilst the increased employee limits and banking enhancements will benefit your largest clients immediately.

These improvements demonstrate BrightPay’s continued commitment to innovation and user experience, ensuring your payroll processes remain efficient, secure, and scalable as your business grows.
