We do this by acquiring quality products into our portfolio, integrating our solutions, and developing new functionality. One such development was releasing our cloud payroll software, BrightPay.
Since launching our cloud payroll software, we’ve seen fantastic uptake and have heard wonderful comments about the impact the software has had on our customers’ payroll processing.
One such customer is a digital and data services business based in Horsham, Envitia. We recently visited the financial controller, Lorraine Carvalho, to discuss BrightPay and her experience migrating to the cloud version.
Envitia has 70 employees, paid monthly by Lorraine and her colleague who works remotely from Liverpool. As an expanding business, the finance team has to manage new starters on a regular basis, and as a business that operates a hybrid and remote workforce, one of the big benefits of adopting the cloud version of BrightPay was the ability for colleagues to better collaborate with one another from various locations.
Lorraine comments, “One of my tasks is to train her and bring her up to speed with the payroll package. We tried to train together on the desktop version and it was difficult. She was very much left alone to try and work it out herself, but I couldn’t see what she did because obviously it was being saved on her machine up in Liverpool. So, for me, using the cloud system was essential if she was to learn.”
Seamless migration
Transitioning to new software can often be time-consuming and challenging, requiring quite the setup and transferring data from the old platform before the new one is fully operational. Bright recognised this challenge and worked to make the migration to the cloud product as seamless as possible, minimising disruptions and simplifying the transition process.
We discussed this migration process with Lorraine to understand her experience.
“It was a seamless move for me. Literally, March ended on the desktop version and we started on 1st of April on the cloud version and there was all the data in the right place with the right figures.
BrightPay have done a really good job in mirroring the desktop version. So, if you’re comfortable and happy with the desktop version, you will be comfortable and happy with the cloud version because they’ve mimicked the settings, functionality and layout.”
We discussed the reasoning for migrating to the cloud and this was driven by Evitia’s commitment to ensuring they adopt the best possible data security practices available.
In order to gain the assurance that BrightPay was going to adhere to these high standards, Lorraine met with the Product Manager from BrightPay to discuss security and the future progression of the product before committing to migrate to the cloud payroll software.
Why Envitia continues to choose Bright’s cloud payroll software to manage payroll
BrightPay was purchased by Envitia prior to Lorraine joining the business. Oftentimes, new people joining an organisation introduce the systems they previously used, but Envitia decided to stick with BrightPay. We asked Lorraine how she found adopting the software in her new role.
“I joined the company about a year and a bit ago and we already had BrightPay. I’d never used BrightPay before but I was instantly pleased that BrightPay existed. I found it very intuitive and easy to navigate. The function, the analysis work, the data I needed to enter, it all made absolute sense. So, I was absolutely delighted with the package.”
The power of smart payroll integrations
Ultimately, all software is implemented with the intention of making processes easier and more efficient. One way that BrightPay achieves this for customers is by integrating with other aspects of the payroll process, such as HMRC, bookkeeping software, pension providers, and a payment platform, to avoid duplicating manual processes.
“The impact of the integrations is huge as it saves on manual processing, time. To give an example, we can download P6 from HMRC, rather than waiting for letters to arrive and someone’s pay is immediately adjusted, with them being put on the right tax codes.
The biggest thing is the integration with HMRC, our accountancy package and pension provider. The ability to upload a file, that goes straight into the bank is a real time saver and eliminates any errors.”
